Webinar Corporate Bundles / Redemption Codes

In Aptify, create a campaign for each organization. It will be best to clone the campaign so you don’t have to re-enter all the webinars. This will allow separate available start/end dates for the codes for each individual organization. Follow the bulk redemption code creation process below to create webinar corporate bundle redemption codes.


*As we add/remove available webinars these will need to be adjusted for each of the campaigns.

Create Campaigns

1. Open the Campaign Management application in Aptify →  double-click Campaigns and clone an existing Corporate Bundle campaign

2. Populate the fields in the New Campaigns Record

  1. Name = Name of Corporate Organization
  2. Leave Web Name blank
  3. Add Description – details of the new campaign (example – 50 student membership codes for Product Code XYZ)
  4. Add appropriate Start and End Dates (windows codes are available for use)
  5. Type = Promotion (Webinars) (type text and hit the tab key)
  6. Status – In-Progress (type text and hit the tab key)
  7. Coordinator – Staff member creating the record

3. Add webinar product(s) that should receive the discount to the newly created campaign.

  1. Navigate to the Discounts tab of the campaign record and select the New icon

*Please note this will only work with products that are available in the store.

 

  1. Fill in Product name – matching the product name already in Aptify (use the search function if needed)
  2. Select Discount % as the Type and key in the Discount % to 100.0000
  3. Add All Types to the Member Type field and select the Include Sub-Member Types checkbox
  4. Select Ok and New to add more products to the campaign record OR select OK if complete

 4. Save record at the top left of the New Campaigns Record.

 


Remove existing Redemption Codes

*One caveat with cloning is that it carries over redemption codes so you will need to clear those out. 

  1. Click on the square next to the first code.
  2. Hold down the shift key then scroll down to the last square
  3. Click on the square next to the last code (this will select the entire list)
  4. Then click the red X to delete the codes

Create Redemption Codes within Campaign


1. After new record is saved, create Campaign Redemption Codes


2. Select the Campaign Redemption Codes icon at the top right of your Campaigns view

3. Clear out the text in the pop-up window by selecting the red X

4. Search for the Campaign created and select OK


5. Campaign Redemption Codes wizard will open. Enter in the Quantity of exams purchased (in other words, how many redemption codes do you want to create?), the Character Length of the system generated code text (recommend 5 – 8)


6. The Prefix and Suffix of implemented naming convention (example: Prefix =Organization Name – Suffix = Current Year/Contract)


7. Max Use = # of webinars available or greater so that they can go back in and use the code multiple times to go back in and purchase webinars at will (until the campaign expiration date)


8. Select Finish – Aptify will add Redemption Codes to associated Campaign record (there will be 5-10 second processing delay)

9. Search for the newly created campaign record to get newly created Redemption Codes

Export Redemption Codes from Campaigns


After the campaign record and the redemption codes are created, visit Report.AHIMA.org to export codes into export format to be able to send to the Company Administrator:


  1. Direct link: https://reports.ahima.org/reports/report/General/Redemption%20Codes
  2. Select the campaign record from the dropdown

  1. Select View Report at the top right to generate report
  2. After report generates, select the down arrow next to the save icon to select Excel as the export format. File will download at the bottom of your screen and will also be in the Downloads folder of your Windows Explorer.

View Redeemed Redemption Codes


There is an additional report that can be run to show how many times a redemption code has been used.

  1. Select the Campaign ID
  2. Click on View Report - It displays the name of the parent campaign and then the individual redemption code used.
  1. After report generates, select the down arrow next to the save icon to select Excel as the export format. File will download at the bottom of your screen and will also be in the Downloads folder of your Windows Explorer.

Create Views in Aptify to Manage Campaigns


1. Navigate to the Campaign application in Aptify


2. Once application loads, select the Create View icon and the below pop-up window will open

3. In the General tab enter the Name of view and Description. Leave View Type and Base View as is:

4. Navigate to the Filters tab to create your View perimeters:

  1. Row 1: Campaigns>Type (Text not TypeID)>Contains>Redemption Codes
  2. Row 2: Campaigns>Status (Text not StatusID)>Contains>In-Progress
  3. Row 3: Campaigns>Coordinator (Text not CoordinatorID)>Exactly Matches>Your Name (Optional row only if you want to see the campaigns you created – no row is needed if you want to see all campaigns created for bulk exam orders)

  1. Select Ok to save and view will generate and will continuously update as more campaigns are created

How customer uses a Redemption Code

The Corporate Organization Account Manager will distribute the redemption code to their employees.

Individual employees will follow this process:

 

1. Go to: https://my.ahima.org/redeem


2. Enter your AHIMA login (or create an account if you don’t have one)

3. Enter your redemption code and click Apply

*For testing, enter one of the redemption codes from the Webinar Corporate Bundle campaign

 Once applied, the parent campaign name will display. The customer can then select which webinars they want to add to their cart.

It will also notify the customer if they have already registered for a particular webinar

Things to keep in mind:

  • Once webinars are added to the cart, they can follow the checkout process.
  • The customer can use their individual code multiple times throughout the duration of the corporate contract (until the campaign end date).
  • Once the order ships it will pass into their Aura eStore the same way all other individual webinar purchases work.
