The following documentation outlines the process of how to update a user's primary login email address and providing password assistance.
A user's primary email address should ALWAYS match the web user ID username. Be sure to test the email/password combination by impersonating on my.ahima.org before prompting the user to login. If the issue persists, then check for any duplicate records in Aptify that may be associated with User.
As best practice, update the PWD (password) in the primary web user record and alert the customer of this change prompting them to reset (use generic a password - e.g., Ahima123). If the primary web user record does not exist, click to learn more about creating a new web user record.
Note: If the record is missing a secondary B2C random-character web user ID (in other words, only one web user ID record opens), please submit to IT helpdesk and in subject include "Missing B2C web user ID".
UPDATE PRIMARY EMAIL ADDRESS/WEB USER ID RECORD
Sample request: Michael Williams (AHIMA ID#: 2736676) wants to update their user log in email from michael.williams@admin.sc.gov to mowilliams1973@aol.com.
1. In Aptify, go to Customer Management → Persons and use the search function to open the person record.
2. Go to the Contact tab where you will delete the outdated Primary Email address and paste the new email address.
3. Click on "Web User"
4. Open web user ID record containing outdated email address and paste new email address in User ID field and Email field within web user ID record.
5. Save and close the record.
6. In Web Users view, open the B2C web user ID record (random character) to delete the outdated email address and paste the new email address in Email field.
7. Save and close the record.
UPDATE PRIMARY WEB USER ID RECORD PASSWORD (PWD)
1. In Aptify, go to the person's record then click on "Web User" to open the web user IDs available. Typically, the first listed record is associated with the primary email address. This is the record where you will update the password.
2. Update password and click to save and close. Prompt user to reset upon logging in.
**DO NOT UPDATE PASSWORD FOR SECONDARY B2C WEB USER RECORD. ONLY UPDATE PASSWORD IN PRIMARY WEB USER RECORD THAT CONTAINS EMAIL ADDRESS AS USER ID.
NOTE: The user has access to reset their password on my.ahima.org main login page. They simply need to enter the primary email/web user ID associated with their record in Aptify.
