Create Staff User Account in Aptify

1. Go to User Administration >> Users >>  All Active & Trusted >> Click to create new record to run Aptify User Administration Wizard


**Validate that user account does not exist (look for LastNameF)**


2. Select login security mode: Windows Integrated Security (recommended) >> Click Next


3Enter the user's Windows Domain and Account: 

  • Domain = AHIMA_CHICAGO
  • Account = lastnameF, then click search




4. The user will populate in the box below. Click to select, then click Next.


5. Select Client Access License = End User  >> Click Next



6. Select Module Licenses >> Select All 



7. Select database and SQL Role to include user in >> Select Permit >> Select Active User >> Click Next




8. Specify User Account Details >> Enter new hire's full name: Firstname Lastname >> click Next 




9. Leave the Choose Object Repository Context for User page () and Culture (EN (en)) as-is, and click Next.


 


10. Select all Aptify Groups user will need access to including the following standard groups: 

  • Basic
  • PersonGroup
  • Users


Pro Tip: Open an existing employee's user admin set up to use as a reference when copying over groups to maintain consistency across all departments.


11. Set Primary Group to Users, then click Next.



12. Setup user's relationship to other entity records: 



12.1: Setup Person Record: Click to create a New Record


12.1.a. Entity = 1006(Persons) 



12.1.b. Click on Entity Record to create new person record and complete the following fields: 

                1) First and Last Name

                2) Company = 1235 (AHIMA)

                3) Primary Email = @ahima.org email

                4) Save and Close record 


12.1.c. Click OK


12.2: Setup Employee Record: Click to create a New Record 


12.2.a. Entity: 886(Employees)



12.2.b. Click on Entity Record to create a new employee record and complete the following fields: 

                1) First and Last Name

                2) Organization = 1 (AHIMA)

                3) Supervisor = reporting manager (Match AD)

                4) Primary Email = @ahima.org email

                5) Save and Close record


12.2.c. Click OK.


13. Click Finish on the Aptify User Administration Wizard to set up user account




Add User Account to Organizational Level Security


14. Go to User Administration >> Organizational level Security >>  All >> Click to create new record to run Aptify User Administration Wizard and complete the following fields: 

                1) Employee = employee record you created in Step 12.2

                2) Organization = 1 (AHIMA)

                3User ID =  AHIMA_CHICAGO\LastNameF

                4) Save and close record





New hire is now successfully set up in Aptify! 


Best practice is to *ALSO* set up new hires in Aptify Test in conjunction to Aptify Production

(follow same steps as listed in this solution).
