Create CEU Record for Meeting (Webinar) Attendees

External events require attendee data imports in to Aptify by IT that typically result in a mismatch of fields in large quantities. Due to this, users in our system are not awarded CEU accordingly. In order to accurately award CEUs to meeting attendees, you must first confirm the order, meeting record, attendance, and survey completion. Follow the steps below to confirm meeting attendance and how to generate CEUs: 


Before creating a new CEU, confirm the following details with AHIMA Audio Seminars/Customer Relations: 

  • Full Name and Person ID (or AHIMA ID)
  • Email
  • Meeting (Webinar) / Bundle Titles
  • Order # (if known)

1. In the Aptify Persons entity, use the Search icon to look up and open the person record.


2. Confirm the meeting (webinar) / bundle purchase in the orders tab. 


example: We are confirming Patricia Ignash (ID# 3872397) did in fact purchase and attend the webinars included in a bundle that is missing CEUs in customer's myAHIMA CEU center.



3. Make note of CEU details, including "Education Category", "Education Units" (CEU amount), and CE Type (=Certificate)

  

2a. Open the product record (hyperlinked order line item), go to Assembly → select the Sub-Product 


2b. In sub-product record, go to Meetings → Meeting Logistics → CEUs tab



4. Confirm the meeting (webinar) / bundle is listed in "Meetings".




Next, follow the steps below to confirm the customer completed the meeting (webinar) survey.


5. Go to the EStore entity and select "Aura Survey Responses"*


*RECOMMENDED: Create a new view with text box prompt wizard search by AHIMA ID. 

 (Click "New View" →  Name = "aura survey response search x AHIMA ID" → Edit Filter tab: 

Service is Aura Survey Responses

Field is AHIMA ID

Operator is Exactly Matches

Value is AHIMA ID Exactly Matches




Confirm attendee status and add CEU. 


6. Go to Meeting Management entity → Meeting Registrations → create view to search by Person ID to confirm attendee status**


**RECOMMENDED: Create new view with text box prompt wizard search by Person ID.

(Click New View → Name = "Mtg reg by person ID" → Edit Filters tab: 

Service is Meeting Registrations

Field is Attendee

Operator is

Value is Attendee =




7. Double-click record line to open Meeting Registration record.


8. Go to "Education Units" tab and if CEUs are missing, click to create a new CEU record. 


8a. CE Type = Certificate 

8b. Education Category = confirm in main product record meeting logistics CEU tab

8c. Education Units = confirm in main product record meeting logistics CEU tab

8d. Certification Type = Meeting

8e. Click OK

8f. Save and close CEU record


 


9. Confirm CEUs created populate in person record CEU tab, then save person record and click to refresh. 



10. Click to "Impersonate" user in myAHIMA to confirm CEUs are populating in CEU Center.




CREATE A NEW CEU FROM SCRATCH


Be sure to confirm the following information before getting started: 

  • Education Units (CEU amount)
  • Education Category (Domain)
  • Date Granted / Date Started
  • Event Title

 


1. Go to person record and select CEUs tab

 

 





2. Click New Record to create a new CEU. 


3. In the General tab, enter the Date Granted and match the Date Started, Units (CEUs), and CEU Domain (Education Category).




4. In the Details tab, set the Source as AHIMA Activity and select the Education Type then click save. 




NOTE: If the user has a credential, a record will appear in the CEU Split tab of the new CEU record. If a CEU Split for a user with a credential does not generate, then further action may be required. 

  • Confirm if User has already met their CEU requirements.  
  • Check for any errors if otherwise.
