AHIMA user's missing a webinar(s) in their Aura eStore webinar page is likely due to an unexpected interruption with the Aptify to Aura webinar sync (e.g., "the customer purchased a webinar, but they cannot access it in their 'My Webinars' view").
Things to look for:
- Validate webinar purchase
- Confirm order is shipped. If order is not shipped (in taken status), then the webinar will not be processed)
- Potential duplicate webinar purchase
- Confirm webinar is listed in person's Meeting tab - if the webinar is not listed in user's Meetings tab, please refer to solution article on Missing Webinars in User Meetings Tab
- Confirm webinar is missing/appearing in Aura eStore (impersonate)
- Check for eStore ID generation in order history view.
*Special case scenario that would need to be escalated to Aura team (Natalia Luisi): user completed webinar but it is still appearing in upcoming as well as completed sections of Aura eStore.
If an unexpected interruption to the Aptify to Aura webinar sync is causing webinars to not appear in a user's Aura sStore webinar page, then it is likely due to an order missing the eStore ID. This can be verified by viewing the order's history. Note, the order will more than likely be missing history for a auto-generated eStore ID.
Below is the temporary process to manually force an Aptify to Aura eStore sync.
Validate the order/person/web user is missing eStore ID*
Orders: Go to history and confirm the changes column contains "eStore ID changed from 0 to #" (hint: all eStore IDs are unique).
Persons: Go to person record and confirm changes column contains "eStore ID changed from 0 to #" (hint: all eStore IDs are unique).
Web Users: Go to Web User record (primary) and confirm the eStore ID field is not blank in the General tab.
*If any (or all) of the associated record is missing an eStore ID, then this will cause access issues for the user in Aura. Proceed to the steps below to manually sync the eStore ID.
1. In Aptify, after you have copied the record ID (from the Order, Person, or Web User record) go to EStore and double-click to run the Aura eStore Sync Stage view.
2. Click to add New Sync Stage record and complete the required fields:
Entity = select from Orders / Persons / Web Users
Aptify Record Id = the order / person / web user ID # (click to copy the ID) of the original order containing webinar(s) purchased that failed to sync
Direction = AptifyToStore
Status = Pending
3. Click to save and close the new sync stage record. Wait 5-7 minutes for application server sync before refreshing record - course check in Aura is OK.
4. After 5-7 minute wait for serve sync, refresh record and verify webinars are appearing in user's Aura eStore webinar view by impersonating.
Note: If system does not have the necessary eStore sync DLLs in the Aptify 5.0 directory, and Aptify cannot download them from the repository, the sync will error. In that case, switch the status back to pending and save again. This should cause it to be picked up by the application server which looks for pending sync stage records to process every 5 minutes.
Note: If you are unsure if an order was supposed to sync, and/or want to test why a sync stage record was not created when the order was shipped, run the “Test Order Sync PF” (ID 497). It takes an order ID, loads it, runs the test that is done in Aura custom event definition (and also checks for status = shipped since it’s not tied to the shipped event anymore), and creates the sync stage record if the test is passed.
