Merge Records in BOTH Aptify and Altai
Since we are running concurrently within two systems (until we fully cut over) you will need to check both Aptify and Dynamics and merge the records in both systems. You will need to retain the same primary record in both systems. This is necessary for the synchronization of the two systems
Step 1: Merge in Aptify
Follow the merge process in Aptify (only select staff have these rights)
Step 2: Merge in Dynamics
a. Go to the Accounts or Contacts service
b. Search by name in the local search box (not the global search at the top of the page)
c. Select the records – you can only select two at a time for the merge process
d. Once you select two record, the merge button will appear in the menu bar
e. Click Merge
NOTE:
- The merge screen will allow you to view differences between the records
- One record is selected as default
- You can click the radio button in the other column if you want to retain a particular field
Once the merge complete it will display a message at the bottom of the screen.
If you have additional duplicate records, select the next two and run this process again.
Merge records are marked as Inactive and removed from all standard views. If necessary you can review data in those records. In a view of all Accounts or Contact, click on the filter icon.
In the advanced filter settings, add the Inactive status field to the filter
The view will then display any inactive records that have been merged
If you select an Inactive record, it will display the information as read only.
*ADMIN ONLY*
A record can be reactivated if necessary, but this should be done cautiously.
