Dynamics Events: Register Attendee via Backend

The following article includes step-by-step instructions to adding a new event attendee registration to the system via backend in Dynamics. 


Adding an additional session to attendee event registration via backend is not recommended. To ensure proper registration, impersonate user via event registration website and add the additional session. 


This solution article includes the following:

  1. Create new event attendee registration 
  2. Generate new invoice for payment
  3. Apply payment to invoice
  4. Run receipt to download PDF


Create New Event Attendee Registration via Event Entity 


1. In Event Mgmt workplace, then Events.


2. Select the event to be registered under. 


3. Go to Attendee Management tab, then on the Registered Attendees section click on the ellipsis and select Add New Event Attendee




4. In Attendees field, use search to link contact to event registration record. 

  • Event (i.e., "2022 AHIMA Advocacy Summit")
  • Attendee (type to search for full name, or add new contact)
  • Event Pricing (i.e., "Standard")
  • Account (type person's organization/company)




5. In Event Pricing field, type "Standard" and select the standard event or the appropriate event pricing set by event manager. 




6.  To generate an invoice and bill the attendee, go to Billing tab and adjust Action field to select Bill Registration.



Generate Invoice for Payment


1. To generate an invoice for payment, open the event attendee registration record and go to the Billing tab. 


2. In Billing, click the Action field to select Bill Registration then click Save (do not close) to generate a new invoice.


 


3. Click to open the newly generated invoice in Current Invoice field.  




 

Note: Manual event registration is set to $0.00 USD.  


If using event coupon code, 


1. Go to Coupon field and enter coupon code, then click save (do not close). 



2. Scroll down to invoice detail and double-click to open the Advocacy Summit product 65395. 



3. Go to FulFillment tab and change the Shipping Status from Order Placed to Shipped. 



 

To update payment to standard event registration rate in USD, proceed to the following section:  



4. In invoice record, go to invoice details (scroll down) and double-click in whitespace of the Invoice Details line item to update unit pricing.  


 

 


5. Update Price Per Unit field to (e.g. type in “$99.00”) then click Save & Close.


 

 


(Back in invoice)  

6. Total Amt due will be updated to reflect price per unit change.  




Apply Payment to Invoice


1. Scroll down to bottom of invoice page and select + New Invoice Payment (you may need to click on ellipsis or maximize window to view new invoice payment button).

 

 



2. In the new invoice payment page, complete the following sections in the General tab: 


Payment Information:

  • Payment Product (payment method: *standard for Events is Credit Card) - ACH \ Check Payment \ *Credit Card - AMEX \ *Credit Card - Visa, MasterCard, Discover \  Offline Credit Card \ 
  • Payment Type (*standard for Events is Credit Card) - Credit Card* \ Company Check \ Personal Check \ Cash \ PayPal \ Gift Card \ Wallet \ E-Check / ACH \



Customer Information: 

  • Contact (person record)
  • Organization (company)



Cred Card Processing:

  • Complete all fields. 
  • Note: Bill Credit Card = Process Credit Card



Credit Card Billing Info:

  • Complete all fields.

 

 

3. Click Save. Status reason will change to "Successful" if payment was processed and CC authorization # will populate in credit card processing section. 




Run Receipt to Download PDF 


1. In invoice page, click on Run Report and select Receipt to generate copy of the receipt to print to PDF (you may need to click on ellipsis, or maximize window to access the run report button). 


 


2. A new window will open with a copy of the receipt. Click to save as Acrobat (PDF) file for direct PDF download.
