The following documentation serves as a guide for self-registration and registering users on their behalf.
There are three different ways that the AHIMA team can approach the registration:
- Provide users with the coupon code to register on the event website at checkout (RECOMMENDED).*
- Register user via front end event registration if creating new user in Aptify.
- Register user via backend Dynamics registration (requires additional training).
*IT RECOMMENDATION: Allow active AHIMA users to self-register as SSO blocks backend registration without having to update Aptify web user record password.
If users get an error message for invalid email/password, then instruct them to reset their password.
If users continue experiencing log-in issues, then proceed to Validate Users in Aptify and Dynamics.

Validate User in Aptify and Dynamics
Step 1. In Aptify and Dynamics, validate the user you are registering currently exists in the database with up-to-date contact information. (Search by full name first, then by email)
a. If a user exists with duplicate records, take a screenshot of those duplicate records, and submit as HelpDesk ticket as a duplicate merge request.
- Active User Self-Registration: Once the merge is complete, share link to the registration page and designated coupon code.
- Non-Active User Backend Registration: Aptify web user password will need to be updated after merge. Use the new log-in credentials to sign-as the user to register on their behalf.
b. If a user exists with up-to-date contact information in BOTH Aptify and Dynamics, and is Active user, send user a link to the registration page and designated coupon code.
c. If a user does NOT exist in Aptify or Dynamics, then proceed to Step 2: Create New Person Record in Aptify.
Create New New Person Record and Set Web User Password in Aptify
Step 2. Create New Person Record and Set Web User Password:
1. In Aptify, go to Customer Management, then Persons. Click to create new person record.
2. Enter First Name, Last Name and Email Address then click Save.
3. Click Web Users and enter a generic password (e.g. Ahima123). Then click Save & Close.
4. Save person record.
5. Send the user the credentials for self-registration, or go to myAHIMA and sign in with new user credentials (their email address and password) and register user for the event on their behalf.
If you are now registering the user on their behalf, proceed to Step 3.
Steps to Redeem Code on Behalf of a Registrant
Step 3. Go to https://www.ahima.org/ams/meetings-events/advocacy-summit/registration
1. Log-in as user using the credentials you created in Step 2.
2. Under Questions for You: Enter valid home address (if available), or use AHIMA HQ address:

3. Click Add to Cart
4. Validate special accommodation needs and policies. Recommended: Be sure to rely this information with respect parties if registering on their behalf PRIOR to registering.
5. Click Continue to Cart
6. In the Shopping Cart page, enter the designated coupon code and click Apply Coupon
**The price total will refresh to $0.00**
8. Click Proceed to Checkout
9. In the checkout page, enter valid mailing address (or use AHIMA HQ address), then click Checkout.
**A registration confirmation page will populate which you can print to PDF or save.
