Managing Exit Employee OneDrive Files

Access to OneDrive Files are established during the offboard process between Human Resources and the exit employee's direct manager.


1. Access the OneDrive folder shared via email 


 


2. Click to Open


3. Select "Add Shortcut to OneDrive"



Once shortcut is added to your OneDrive, you will see the folder appear under "My Files", and on the File Explorer left navigation under OneDrive - American Health Information Management Association.




NOTE: 

  • Files can then be accessed and reviewed by the manager to determine if the file should be retained and moved to permanent shared storage or discarded. 
  • Managers have 90 days from employee exit to move files from the ex-employee's personal storage to other shared cloud storage (Manager’s One Drive, Department SharePoint share, Department Teams File folder). 
  • Files from ex-employee personal cloud storage cannot be shared with others. They must be moved to a new permanent cloud storage location.


Access your OneDrive "My Files" by clicking on the OneDrive icon on your desktop toolbar and select View Online.

 


 





3. (Optional) Copy files to new personal OneDrive folder, or shared teams folder. If you wish to share files with your team then they must be copied to a shared cloud storage location.


  • Open File location
  • Select files to be moved, then click Copy to 



  • Select existing SharePoint location to share with Team members, or click to create New Folder to copy file(s) to in SharePoint then click Copy here.
